London Hotel Chauffeur Arrival Guide for Guests

London Hotel Chauffeur Arrival Guide for Guests

Plan your London hotel arrival before you travel

A smooth hotel arrival starts with a clear collection plan. Before travelling, confirm your hotel’s full name and address, your passenger numbers, luggage and expected arrival time. If a personal assistant or concierge is arranging the journey, nominate one main contact so changes reach the right person promptly.

This guide explains what to organise for an airport-to-hotel transfer, a station collection or a hotel departure for meetings and events. London VIP Chauffeur can plan the journey around your itinerary; the hotel should confirm its own entrance arrangements, room availability and luggage-storage options.

Confirm the correct entrance and collection point

A hotel’s postal address does not always explain where a vehicle should stop. Ask the concierge which entrance to use and whether there are temporary access restrictions. Share those instructions when arranging your chauffeur, especially if you are attending a conference, private dinner or event with a separate reception.

For stays at The Ritz, The Savoy, Claridge’s, The Dorchester, The Langham or Shangri-La The Shard, confirm the current arrival instructions directly with the hotel. Avoid assuming that a driveway, forecourt or entrance is available for waiting. The chauffeur must use a permitted stopping point, and the meeting place may need to change if access is restricted.

Agree a contact method for arrival day. If the entrance changes, send the updated instructions before collection rather than relying on the driver to find you inside the building.

Share flight or train details and allow time for check-in

For an airport arrival, provide your flight number, travel date and terminal alongside the hotel address. The landing time is different from the time you will be ready to leave: passport control, baggage reclaim and assistance requirements can affect your collection. Confirm the meeting point, included waiting allowance and arrangements for delays in your booking confirmation.

For a station arrival, include the station name, train service and expected arrival time. Explain whether you have large suitcases or need additional time to reach the collection point. A clear plan is particularly helpful after an overnight flight or a journey with children.

Check your hotel’s check-in time separately. An early transfer does not guarantee an early room. Ask reception about storing luggage or arranging early check-in, and allow a comfortable interval before your first meeting, restaurant reservation or theatre performance.

Choose a vehicle around passengers and luggage

Count every suitcase and hand-luggage item before requesting a vehicle. Include pushchairs, presentation equipment, oversized cases and anything that cannot be folded. The number of passenger seats alone does not establish whether all bags will fit.

An executive saloon may suit a smaller party travelling light, while a Mercedes V-Class can be considered for families, colleagues or journeys with more luggage. Share your requirements so the team can confirm a suitable vehicle. Browse our chauffeur fleet before discussing your preferred class.

Request child seats or accessibility assistance when enquiring. Describe what is needed so suitability and availability can be checked before the booking is agreed.

Arrange hotel departures for meetings and events

For your return collection, give a departure time rather than only the time an appointment begins. Allow for loading bags, traffic and the final walk into the venue. If several guests are travelling, ask everyone to be ready at the agreed meeting point and give the chauffeur one lead passenger contact.

For a day with several meetings, share the full itinerary, planned stops and waiting periods. Hourly chauffeur hire has a five-hour minimum. A single hotel transfer and an itinerary with a vehicle retained between appointments should be quoted according to their different requirements.
