Coordinating Chauffeur Travel for Diplomatic Delegations

A diplomatic or official delegation visit involves many moving parts: flight arrivals, hotels, meeting venues, passenger groups and schedule changes. This checklist helps a coordinator prepare clear ground-travel information without making assumptions about security arrangements or venue access.

Create one itinerary owner

Appoint a lead contact who can confirm the latest travel schedule and approve changes. Share their mobile number with the chauffeur booking team, alongside a backup contact if the lead is travelling.

Prepare a simple passenger list

Record the passenger number, names where needed for coordination, luggage requirements, hotel or collection addresses and the vehicle groupings. Keep the list current if people join or leave the itinerary.

Confirm the arrival sequence

For airport or FBO arrivals, provide the flight information, terminal or facility, expected arrival window and first destination. Allow time for arrival procedures and baggage before committing to a city appointment.

List every fixed commitment

Include meeting addresses, official venues, restaurant bookings, hotel check-in times and departure deadlines. If a location has its own access or arrival instructions, obtain these directly from the host or venue and pass them on.

Plan for changes

Delegation schedules can move. Mark the items that are fixed and the items that may change, then agree how changes will be communicated. One current itinerary is better than several conflicting message threads.

Coordinate with a security team where applicable

If a delegation has its own security personnel or protocol lead, they should provide the instructions relevant to the travel plan. The chauffeur booking team can coordinate collection times and locations within the arrangements provided; it should not be assumed to provide security services or access permissions.

Allow sensible journey time

London traffic, venue restrictions and event activity can affect the route. Build a buffer before critical commitments, particularly on arrival day or when moving between central London and an airport.
